How Fees and Cancellations Work

Payment and Bank Card Details

As a condition of booking, all clients are required to provide valid bank card details. These details are stored securely using Halaxy’s encrypted payment system. Even if your sessions are usually funded by a third party (e.g., Medicare, DVA, NDIS, WorkCover, Comcare, or private insurance), we require your card details to be kept on file.

This ensures that if you become ineligible for third-party funding, or if you are responsible for a cancellation fee, the charge can be processed directly.

Fees

Individual Standard Session

  • With a current Mental Health Care Plan, you can claim a Medicare rebate of $98.95 for up to 10 individual sessions per calendar year (January–December).

  • At the time of your appointment, you will be charged the full session fee. We are usually able to process Medicare rebates on your behalf. Medicare will then deposit any eligible rebate directly into your nominated bank account.

Bulk Billed Session

DVA Sessions

NDIS Sessions

  • No out-of-pocket costs. Session fees are charged in line with the NDIS price guide. You must have appropriate NDIS funding to access this option.

Workers’ Compensation (WorkCover/Comcare)

  • No out-of-pocket costs where sessions are approved by your insurer. Session fees are charged in line with the relevant funding body’s schedule (WorkCover QLD, Comcare, or another insurer). A valid claim number and approval from your case manager are required before sessions can commence.

Private Health Insurance

  • Depending on your fund and level of cover, you may be entitled to a rebate for psychology sessions. Please check with your private health fund to confirm your entitlements.

Cancellation Policy

We value your time and ours. To provide the best service to all clients, we require at least 24 hours’ notice if you need to cancel or reschedule your appointment.

  • Late cancellations (less than 24 hours’ notice) and non-attendance will incur the full session fee.

  • Where sessions are funded by a third party (e.g., NDIS), the cancellation fee may be billed to the funding body in accordance with their policy.

  • If the funding body does not cover the cancellation fee, the client will be personally responsible for payment.

  • If psychologist Tegan notices a pattern of last-minute cancellations, she will discuss this with you to problem-solve any barriers to attendance.

  • Repeated cancellations without notice (three or more consecutive occasions) may result in you being exited from the service.
